Data Migration Success

Introduction

When Caregility set out to move from IFS 7.5 and a highly customized Vision Extension to IFS Cloud, they weren't just upgrading technology — they were navigating a critical transition. Spinning off from a sister company with a fundamentally different business model, Caregility faced the dual challenge of carving out their data through a deeply complex migration and establishing operational independence.

With limited internal bandwidth, evolving data structures, and a need to retain historical records for returns and services, they turned to Astra Canyon for support.

Challenge

Two disparate systems. One tight deadline.

Caregility's environment included two disparate systems — IFS 7.5 and Vision Extension — with misaligned data and limited internal resources available for the data migration. After multiple migration passes, challenges persisted, including incomplete test data, limited scenario testing, and staff stretched thin across competing priorities.

Misaligned source data

Two systems with incompatible data structures requiring complex transformation logic.

Compressed timeline

An aggressive go-live date left little room for extended testing or rework cycles.

Limited internal bandwidth

Caregility's team was stretched across other business-critical workstreams simultaneously.

Incomplete test coverage

Gaps in test data made it difficult to validate migration scenarios before go-live.

Turning Point

Taking the wheel on data migration.

By early 2024, Caregility requested that Astra Canyon take primary responsibility for the data migration. This turning point involved not only reconciling two separate sources, but rethinking the structure of the data itself. Astra Canyon applied innovative methods to bring data together from IFS 7.5 and Vision Extension and transform it into new objects in IFS Cloud — for example, converting Projects into Service Contracts and Inventory Parts into Non-Inventory Parts.

"We inherited a system that didn't reflect how we do business. It forced a lot of manual work and complexity. Now, with IFS Cloud 24R2 we're finally in a position to automate and scale."

-Tod Nestor, CFO — Caregility

Execution

Collaborative, adaptive, committed.

Despite the aggressive timeline, Astra Canyon was up for the challenge. The project became a collaborative push across both teams, with joint decision-making, constant alignment, and flexibility from everyone involved.

01 -Early 2024

Astra Canyon assumes primary responsibility for data migration strategy and execution across both legacy systems.

02 -Mid 2024

Testing gaps identified and filled. Astra Canyon fills coverage shortfalls where needed; compromises made to maintain forward momentum.

03 -January 2025

Caregility goes live on IFS Cloud 24R2. On schedule. Both teams rallied to reach a single shared goal.

Outcome

Live, independent, and ready to scale.

Caregility successfully went live, and while some post-go-live work continued into early 2025, the data migration was delivered successfully under challenging conditions. The project's success was driven by adaptability, collaboration, and an unwavering commitment to getting it done.

Legacy systems consolidated into IFS Cloud
Full operational independence achieved

"The biggest win of the project was gaining independence from our previous shared environment. Moving to IFS Cloud gave us the ability to configure and run the system to fit our needs — not someone else's. That's already reducing errors and boosting efficiency."
